What sort of Data do we collect?

  • IP Address, we may collect information about your computer (including where available your IP address, operating system and browser type) for system administration. This is statistical data about our visitors’ browsing actions and patterns and does not identify any individual unless you register for a role at Novus or contact us via social media.
  • If you apply for a role at Novus, we will collect your name, email address and the information contained in your curriculum vitae.
  • If you send any requests to us via the website, we may collect your name, work telephone number, work mobile number, work email, work address, job title.
  • Your social media username, if you interact with us through those channels, to help us respond to your comments, questions or feedback.

Here’s how we’ll use your Data and why:

When you apply for a position at Novus, we need to collect your name, email contact and your curriculum vitae to assess your suitability for a role and to be able to contact you regarding your application in respect of that role.

If you make a comment or have a question that you send to us via social media, we may need or wish to contact you in relation to the comment or question.

How we protect your Data

We will treat your Data with the utmost care and take all appropriate steps to protect it, including contracting with third parties who themselves have recognized certified compliance security measures such as compliance with
ISO 27001 and who have undertaken accredited GDPR compliance training courses.

We regularly monitor our system for possible vulnerabilities and attacks, and we carry out penetration testing to identify ways to further strengthen security

How long will we keep your Data?

Whenever we collect or process your Data, we’ll only keep it only for as long as is necessary for the purpose(s) for which it was collected and, we will keep it in accordance with the terms of this Privacy Notice and Novus’s internal data privacy policies, as applicable. Your Data will be held by Novus as set out below:

  • Data will be held only for as long as we maintain an ongoing relationship with you (e.g., where you are an applicant for a vacant role at Novus);
  • Where your Data is held in connection with the lawful purposes set out in this Notice, for which we have a valid legal basis (e.g., where your Data is included in a contract between us and your employer, and we have a legitimate interest in processing the Data for the purposes of operating our business and fulfilling our obligations under that contract; or where we have a legal obligation to retain your Data),
  • For the duration of any applicable limitation period under applicable law (i.e., any period during which any person could bring a legal claim against us in connection with your Data, or which your Data may be included in;
  • A further 12 months following the end of the applicable limitation period; and
  • In addition, if any legal claims are brought, we may continue to hold and process your Data for such additional periods as the Data is needed in connection with any legal claim, or any obligation under applicable law.

At the end of any retention period as set out above, the Data will either be deleted in its entirety, archived so it is put beyond use or anonymized, for example by aggregation with other Data so that it can be used in a non-identifiable way for internal data statistics or business analysis.

Where your Data may be processed

Sometimes we will need to share your Data with our group companies and third parties and suppliers outside the European Economic Area (EEA).

The EEA includes all EU Member countries as well as Iceland, Liechtenstein and Norway.
